Full Job Description

The Administrator Receptionist is based in reception of the office building. Working within the company to help the smooth running of all departments.

Working as part of a team to contribute to the overall success of the business.

Responsibilities and Activities

· Answering the telephone. Directing calls, taking messages, providing help and information.

· Greeting visitors. Ensuring the visitors' book is completed. Directing visitors to the right person or department. Providing refreshments if required.

· Open and distribute post.

· General administrative support to all departments.

· Maintain quotation files.

Log customer details.

Raise quotation number.

Distribute quotation request to the correct person.

Chase quotation if it is not raised in an acceptable timescale.

Email/send quotation when completed.

Follow up quotation with prospective customer.

Report back to person who produced the quotation and manager the result of the follow up.

· Send brochures out to enquiries.

· Print and issue job packs to all departments, erectors and clients.

· Print and issue updates to job packs, ensuring obsolete information is removed.

· Print and issue quantity sheets.

· Purchasing.

Check in delivery notes.

Notify suppliers of discrepancies. Inform Procurement, Sales and Finance.

Working with Procurement to ensure credit note or replacement received.

Book in goods on Vector System.

Ensure stock is at the correct price on Vector. Liaising with Procurement and Finance.

Update customer price lists.

Match invoices to delivery notes.

Update PO file.

Enter invoices in PDB and scan to Xero. File.

· Sales.

Print sales invoices daily.

Check yard tickets against invoices.

File.

Send/email invoices bimonthly.

Send/email statements monthly.

Distribute/file retail paperwork.

· Preparation of wage payments. Calculating hourly rates to post to job costing.

· Enter costs in job costing file.

· Cost jobs when requested.

· Cover shop when required.

This is a very varied role that requires a curious candidate. A person that is keen to learn about the many departments within English Brothers and pitch in when required, to deliver a customer experience that exceeds expectations.

We are looking for a confident, efficient person who is often the customers first contact with the company. Directing customers to the correct member of staff, provide help and information when necessary.

English Brothers is a well-established privately owned timber merchant and manufacturer of timber products. Situated just off the A47 between Wisbech and King's Lynn.

In the construction sector we manufacture timber frame buildings, trusses and web joists, as well as stocking a wide selection of timber, fixings and goods for construction. On our retail side our shop stocks a good selection of products catering for contractors and DIYers. We manufacture fence panels, sheds, gates and a selection of garden furniture.
