Full Job Description

MAIN DUTIES and RESPONSIBILITIES 1.Provide Secretarial support services, including word processing, spreadsheets, database input, and photocopying. 2.Assist the Pharmacy Office Manager with the maintenance of departmental databases. This will include inputting data and generating queries. 3.Make and receive telephone calls, prioritise and redirect calls, take messages. 4.Maintain and update filing and information systems in Pharmacy, including handling confidential and patient specific data. 5.Prepare and circulate Pharmacy service notification and information bulletins, within an appropriate time scale, for Trust and external organisations. 6.Photocopy and circulate papers, organise rooms, equipment and refreshments, for Departmental, Trust and Regional meetings 7.Book appointments with / for members of the Pharmacy Management Group and process queries regarding availability. 8.Collect Pharmacy mail, sort and distribute mail within the Pharmacy staff group. 9.Maintain stocks of Pharmacy
stationery, including requests to Graphic Design for printed items. Ensure value for money in acquisition of stocks. 10.Attend specified Pharmacy meetings to take notes and co-ordinate approval and distribution arrangements. 11.Generating of consumable orders and receipting orders via the Oracle system in order to maintain efficient running of the service. 12.Provide support for Pharmacy study days, recruitment events and audits, and other specified events. Duties include gathering information, producing and circulating all necessary documentation, making event arrangements (room bookings, catering), making bookings and processing payments, liaising with other staff involved in the event. 13.Booking meeting rooms as requested. 14. Carry out tasks appropriate to experience and training at the discretion of the Director of Pharmacy in support of the line managers for the good of the service.
