Full Job Description

Our People and Engagement Coordinator is the champion of driving great people experiences at Caravan. You manage all administrative tasks within the people team, supporting and contributing on key people projects and day to day tasks that align with our people goals, being able to handle a fast moving, constantly changing environment with a smile! As a People and Engagement Coordinator you will provide clear and consistent application of people policies and practices to create amazing employee moments from onboarding, career growth, culture, and engagement.

Reporting to the People and Culture Director, this role will involve collaborating with various departments to support the people strategies that enhance our Caravan culture and support our team. This role is central to maintaining a cohesive and positive working environment, so being hands on and ready to help with whatever comes up is essential., As Caravan's, People and Engagement coordinator you will be responsible for:

ENGAGEMENT & RETENTION

  • Champions Workplace and all other rewards activity


  • To work with the Head of People and Directors to roll out business incentives and drive employee engagement.

  • Contribute to the planning and execution of team-building activities, social events, and wellness initiatives to drive a positive work environment.


  • Collaborate with the People and Culture Director and departmental heads to develop and execute comprehensive employee engagement programs aligned with Caravan's values and objectives.


  • Own onboarding/offboarding, anniversary, and birthday gifts.


  • Owning celebrating successes within the business for internal comms.


  • EMPLOYEE RELATIONS (HR)
  • Maintain accurate employee records and ensure compliance with relevant legislation and company policies.


  • Support on all aspects of ER cases, including meeting invites, notes taking and outcome letters, supporting managers and conducting meetings when required.


  • Assisting and advising with ER cases with managers and keeping a log of all "live" cases.


  • Supporting people and performance management (including performance improvement plans);


  • Assist the People Director on companywide HR projects to help support the delivery of the teams' yearly objectives.


  • Act as a point of contact for employee inquiries and concerns, demonstrating empathy, confidentiality, and professionalism in all interactions.


  • RECRUITMENT
  • Support the recruitment and onboarding cycle/strategy for varied positions across Caravan, ensuring an engaging and positive recruitment journey for all candidates.


  • Coordinate recruitment and onboarding processes, including posting job adverts, screening candidates, and facilitating seamless integration for new hires.


  • Communicate effectively with site teams ensuring any gaps and vacancies are dealt with quickly and effectively.


  • Managing live roles and recruitment targets, communicating with sites and departments, reporting, and the continuous development of the overall recruitment and selection process.


  • Run recruitment reports (to include hiring sources, time to hire) looking for ways to continue improving.


  • Daily management of our Applicant Tracking System (HARRI), adding users and general maintenance and continuous improvement and check on quality of newly hired candidates ensuring we hire and develop people that displays the Caravan Values.


  • LEARNING AND DEVELOPMENT
  • Assist in organising, coordinating and delivering training and development initiatives, including workshops, inductions, compliance courses and skill-building sessions.


  • Support the People Team in various projects and initiatives aimed at enhancing employee experience and organisational effectiveness.


  • Supports the People Team on new restaurant openings, ensuring the people function supports the stability and growth of Caravan.

    A qualification is not required for this role, however studying, or recently graduated in a Human Resources degree or CIPD qualification is welcome.


  • Previous experience in an administrative or HR assistant role, with a strong interest in people-focused work.


  • Excellent organisational and multitasking skills, with the ability to prioritise and manage competing demands effectively.


  • Exceptional attention to detail and a proactive approach to problem-solving.


  • Strong communication and interpersonal skills, with the ability to build rapport and collaborate with diverse stakeholders. Proficiency in Microsoft Office Suite and familiarity with a HR software.


  • Knowledge of employment legislation and HR best practices.


  • Commitment to maintaining confidentiality and handling sensitive information with discretion and integrity.
