Full Job Description

Administrative Support

  • Manage the daily operations for the commercial and account management team, including handling correspondence, emails, and phone calls.

  • Coordinate and schedule meetings, appointments, and travel arrangements for senior management.

  • Prepare and distribute documents, reports, and presentations as required.

  • Maintain office supplies inventory by checking stock levels and ordering supplies as needed.

  • Assist with the organisation of company events, conferences, and meetings.


  • Personal Assistance:
  • Provide comprehensive personal assistance to the Chief Executive Officer and Chief Commercial Officer, including managing calendars, scheduling personal appointments, and handling personal correspondence.

  • Handle personal errands and tasks as requested, ensuring timely completion and discretion at all times.

  • Act as a liaison between senior management and external parties, including family members, clients, and service providers.

  • Manage household-related tasks such as bill payments, household staff coordination, and household inventory management.


  • Documentation and Record-Keeping:
  • Maintain accurate and organised electronic and physical filing systems.

  • Prepare and update various documents, including contracts, agreements, and expense reports.

  • Ensure confidentiality and security of sensitive information and documents.


  • Communication and Liaison:
  • Serve as the primary point of contact for internal and external enquiries, both in person and via phone or email.

  • Facilitate effective communication between senior management and other team members, ensuring timely dissemination of information.

  • Build and maintain positive relationships with clients, vendors, and other stakeholders.


  • Office Management:
  • Oversee office facilities, including managing maintenance, repairs, and vendor relationships.

  • Coordinate with IT support for resolving technical issues and ensuring smooth functioning of office equipment and systems.

  • Implement and maintain office policies and procedures to ensure a safe and productive work environment.

    We are seeking a dynamic and organised individual to join our team as an Office Administrator and Personal Assistant. This role is pivotal in ensuring the smooth and efficient operation of our office environment while providing comprehensive support to senior management. The ideal candidate will be adept at handling a variety of tasks with professionalism, discretion, and attention to detail., Proven experience as an office administrator, personal assistant, or similar role.

  • Discretion and confidentiality in handling sensitive information.

  • Excellent organisational and time management skills, with the ability to prioritize tasks effectively.

  • Strong communication skills, both written and verbal, with a high level of professionalism.

  • Have proven experience of producing correspondence and documents

  • Have the ability to judge a context, make connections and build relationships.

  • Proficiency in Microsoft Office Suite and other relevant software applications such as Monday, Canva, and HubSpot.

  • Ability to work independently with minimal supervision and as part of a team.

  • Flexibility and adaptability to meet changing priorities and deadlines.

  • Attention to detail and accuracy in all tasks.

  • Bachelor's degree preferred, but not required., GCSE or equivalent (preferred), Personal Assistant: 1 year (required)

  • Administrative experience: 3 years (required)
