We are currently seeking an Operations Assistant reporting directly to the Operations Director and with full visibility across the agency, you will be the backbone for the management team. Aiding in the maintaining of operational efficiency across the business.

You will also enjoy assisting others and working hard behind the scenes to make things happen. Precise attention to detail and remarkable organisational skills will be second nature to you. You will be well known across the agency for being on top of everything with all the answers at your fingertips.

In full control in pressurised environments, you enjoy being one step ahead & going the extra mile when needed.

Role

Your role will involve working with a team that creates a growing portfolio of work for its clients, supporting administration for the Agency as well as working closely with the Operations Director to support the leadership team. Being the Operations Assistant at Brave means no two days are the same, it's a diverse role and you are someone who loves problem-solving and making sure that day to day life at Brave runs smoothly in a positive manner, even when things are challenging. You'll be highly organised and comfortable working on a wide range of digital projects.

Responsibilities

  • Support the day-to-day operations of our fast-paced growing digital agency.

  • Support the Operations Director in organising and prioritising workload throughout the agency.

  • Provide administrative support across all departments.

  • Processing invoices and updating the accounts system.

  • Manage day-to-day office needs to make sure that the team is set up for success.

  • HR support, this will include making sure all documentation and processes are in place and within legal requirements. You will be responsible for the onboarding of all new starters within the business.

  • Oversee Health & Safety within the office ensuring the business is compliant.

  • Office management responsibilities, including dealing with maintenance requests and office supplies.

  • Answering all telephone calls and providing telephone support.

  • Provide administration support to the Senior Management Team as required.

  • Assist with ensuring operational processes are properly documented and that key information is organised, accessible and secure.

  • Help management to overcome challenges, getting your hands dirty to help out when we are short of resources.

  • Arranging the Directors meetings and taking accurate minutes and actions if and when needed., Aside from working with a really friendly bunch of people:

    Highly organised and goal orientated, you'll have a strong eye for detail.

  • Experience of working in a fast-paced office environment.

  • Outgoing, with strong communication skills and able to interact with different people across the agency, at all levels.

  • Ability to juggle multiple tasks at one time.

  • Strong organisational and time management skills with the ability to support in the management of multiple ongoing projects.

  • You will be helpful, resilient and confident with the ability and experience to run a tight ship.

  • Ability to work independently with initiative and enthusiasm.

  • Flexible with a 'can do' attitude and the ability to present and come up with innovative ideas and solutions.

  • Able to work as part of a team and build relationships across the agency.

  • Proficient in Mac and PC systems, Google Drive, Word/Excel.

  • High level of confidentiality.

  • Experience of supporting MD/CEO level in a senior administrative capacity.

  • General digital development, media, project and marketing knowledge., Administration: 5 years (required)

  • Project Management: 1 year (required)

  • Office: 5 years (required)
