Full Job Description

The Operations Administrator role is a key part of the Operations team, providing assistance to the whole company in regards to Office, Human Resources, IT & Compliance support.

Operations Responsibilities include:

  • Maintaining the condition of the Collaboration Space, ordering supplies.

  • Meet & greet any guests, schedule meetings

  • Liaising with cleaners, maintenance workers or utility providers

  • Organises company-wide social & wellbeing events, a key part of our commitment to a fantastic company culture

  • Oversee our hybrid and remote working processes, suggest improvements

  • Assist with awards entries & attendance (we are the current EDP Employer of the Year!)

  • Address employee queries regarding office management

  • Champion & help to execute our 9 Pillars of Culture and Operational Excellence and CLUB company values - ensuring that our culture underpins all that we do

  • Help to organise team day events including training, booking locations & activities.

  • Purchase team gifts & awards including WOWs & Employee of the Year.

  • Partner with the Head of Operations to establish, update and maintain office policies as needed

  • Social Committee member, plan key celebrations & events each quarter

  • Help to maintain and organise our internal SharePoint file management system


  • Maintain company mobile phone contracts

  • Support the Business Continuity process, documentation & procedures

  • Assist in the reviews of outsourced & integrated systems, ensuring we have the most cost effective & efficient processes across the business.

  • Support other members of the team when needed

  • Human Resources Responsibilities :
  • Assist in the recruitment process including scheduling interviews & liaising with external Recruitment agencies

  • Help to process candidate references

  • Assist in the onboarding of new hires

  • Help to maintain HR policies in line with best practice & our company values Work with the Head of Operations to support implementation of staff benefits including private health insurance, volunteer days & flexible working.



  • Information Technology Responsibilities :
  • Co-ordinate with our IT & Compliance Manager to purchase equipment

  • Process employee access requests - new/change/removal

  • Adhere to & champion our security strategy & standards

  • General IT support & queries


  • Aid in completing internal audits

  • Work with the Ops team to develop & deliver training materials including Cyber Risk Awareness and Processes.

  • Support in the maintenance & management of devices (laptops and mobile phones) Key role in the Ops team to deliver & improve process, reduce Operations Debt and support the wider team



  • Compliance Responsibilities :
  • Support the Ops team to ensure maintenance of certifications (ISO 27001 2022, BCorp, Cyber Essentials etc).

  • Champion our internal polices, ensuring they're fit for purpose, reviewed in a timely fashion, organised & easily accessible.

  • Own our Health and Safety policies, Risk Assessments, training & requirements. Support the Ops team in meeting legislative, law and compliance standards including GDPR and Data Protection procedures.

  • You should be an experienced Administrator, ideally with 2+ years working in a fast paced office environment.

  • Proficient in the Microsoft Office suite including Word, Excel, Outlook and PowerPoint.

  • Confident to undertake the training required to configure and maintain ICT devices and cloud systems.

  • It's essential that you are a strong written & verbal communicator, with experience in engaging stakeholders.

  • You should have a passion for sustainability & be aligned to our company mission.

  • You should be organised & have a structured approach to work, experience in project management will be useful.
