Full Job Description

As Office Manager at Red Balloon Educational Trust- Norfolk you will be an integral part of our team, providing essential administrative support to ensure the efficient operation of our centre. Your role will involve a diverse range of responsibilities, from managing office tasks to assisting with learner and parent communication. By contributing to the smooth running of administrative processes, you will help create a supportive and organised environment that enables our learners to thrive. A further facet pf the role is to work closely with the Special Educational Needs Coordinator (SENCO) to provide administrative assistance, liaising with teachers, parents, and external agencies, and contributing to the development and review of learners progress information and other relevant documentation.,

  • Administrative Support:

  • Assist in maintaining accurate records of learners with SEN, including their progress, assessments, and interventions.

  • Help organise and maintain SEN-related paperwork, such as IEPs, SEN registers, and referral forms.

  • Prepare materials and resources for SEN-related meetings and reviews.

  • Provide comprehensive administrative support to the centre's leadership team, including the Headteacher, Deputy Headteacher, Assistant head and other staff members.

  • Manage incoming and outgoing communications, including emails, phone calls, and written correspondence, in a professional and timely manner.

  • Maintain accurate and organised paper and electronic filing systems for leaner records, staff documentation, and other administrative materials.


  • Communication and Liaison:

  • Liaise with teachers, parents, and external agencies to gather information and provide updates on students' progress and needs.

  • Communicate effectively with relevant stakeholders regarding SEN policies, procedures, and best practices.

  • Act as a point of contact for parents/carers seeking information or support related to SEN provision.

  • Act as one of the main points of contact for learner inquiries, parent concerns, and general enquiries, demonstrating empathy and understanding in all interactions.

  • Assist with the admissions process for new students, including coordinating paperwork, scheduling assessments, and liaising with parents/guardians.

  • Facilitate communication between parents, teaching and learning mentors, and centre administrators to address concerns, schedule meetings, and promote collaboration in supporting learner needs.


  • Support Provision:

  • Assist in the implementation of strategies and interventions outlined in students' IEPs, under the guidance of the SENCO.

  • Provide additional support to students with SEN in the classroom, during activities, or in small group settings as required.

  • Collaborate with teachers to adapt curriculum materials and teaching methods to meet the individual needs of students with SEN.

  • Help with the management of the centre's calendars and schedules, including arranging meetings, appointments, and events for staff, learners and external stakeholders.

  • Coordinate logistics for centre events, such as parent evenings, open days, and educational workshops, ensuring all necessary resources and support are in place.

  • Assist with the organisation of transportation arrangements for students, including centre trips and outings.


  • Assessment and Review:

  • Support the SENCO in the assessment and identification of students with SEN, including the use of standardized assessments and observations.

  • Contribute to the regular review and evaluation of students' progress, adjusting interventions and support strategies as necessary.

  • Attend SEN-related meetings, such as annual reviews and multi-agency meetings, to provide input and gather information on students' needs.

  • Work with SLT to Maintain accurate records of student attendance, academic progress, and behavioural incidents using the centre's management information system (MIS).

  • Support with generating reports on learner data, attendance trends, and other relevant information to support centre management and decision-making processes.

  • Assist in the compilation of data for statutory returns, government inspections, and other regulatory requirements.

  • General Office Support:

  • Perform routine administrative tasks such as photocopying, filing, scanning, and distributing documents.

  • Monitor and replenish office supplies, ensuring adequate stock levels are maintained.

  • Collaborate with other administrative staff members to streamline processes and improve efficiency across the centre.


  • Professional Development:

  • Engage in relevant training and professional development opportunities to enhance knowledge and skills related to SEN provision.

  • Stay informed about legislative changes, research findings, and best practices in the field of special education.
