Full Job Description

North Air is responsible for providing into-plane services on behalf of major oil companies. We operate at 20 locations across the UK, where we carry out approximately 300 000 fuelling's per year. We aim to provide safe, reliable, and efficient into-plane services to our customers' satisfaction.

This position is 3 days per week (Tues - Thurs) based at North Air's Head Office and hours to be either 08.30 - 16.30 or 09.00 - 17.00

Reporting to the General Manager, the Office Administrator's role is to deliver effective support to the North Air Leadership Team and ensure the smooth running and efficient administration of the Head office.

Administration:

  • Provide administrative support to the Management Team with projects, business tenders etc

  • Build and maintain strong working relationship with relevant 3rd parties

  • Assist with data input and analysis of information into company IT systems including Intelex

  • Collect information and assist in the preparation of presentations for the Management Team

  • Complete analytical activities including the production of monthly reports\KPIs

  • Assist the Management Team with ad-hoc tasks as required

  • Support with keeping the North Air website and LinkedIn site up to date and relevant, facilitating the posting of articles created regularly by the Management team

  • Organise and book internal and external room bookings for meetings/training and assist in the collation of agenda items

  • Meet and greet visitors to Head Office, making sure the relevant members of the team are informed and briefed as appropriate and work with the LGW Site Manager to co-ordinate executive/airside visits as required

  • Sending out agendas / action items for management meetings

  • Support with travel bookings for Management team (where required)


  • Office Management:
  • Take responsibility and be the main point of contact for all office management and stationary supplies for Head Office

  • Maintain the internal and external post and the upkeep of the franking machine

  • Deal with general North Air correspondence, letters, emails, post etc

  • Order and manage stationary cupboard

  • Oversee kitchen area including water cooler, dishwasher, and coffee machine

  • Oversee all office equipment at Head Office i.e. photocopier, franking machine

  • Prepare meeting rooms ahead of meetings including ordering lunch, where necessary

  • Support with raising and approving POs related to Head Office

  • General Office administration as required in support of "Heads of" Team and/or GM including taking minutes in meetings

    Strong administration and organisational skills

  • Computer Literate, able to use Microsoft Programmes such as Word, Excel, Outlook, Teams etc.

  • Exceptional communication skills with evidence of clear and consistent communication both internally and externally

  • High level of attention to detail

  • Previous experience of preparing high level of presentation materials (using PowerPoint).

  • Ability to work in a fast-paced and changing environment

  • Ability to exercise good judgement, tact and diplomacy and use discretion

  • Previous experience of working in a cross-function department

  • Needs to be able to work as part of a team or autonomously


  • Desirable
  • Experience with project management tools (e.g. Microsoft Project) an advantage

  • Experience of working with WordPress / LinkedIn to update website or other social media

  • Experience of working with Visio (Process Mapping) an advantage, GCSE or equivalent (preferred)
