Full Job Description
Burlington Primary Care are looking to recruit a full-time Medical Secretary, working in our secretarial department working with our clinical team to provide excellent patient care.
Main duties of the job
To provide efficient secretarial service for theclinical team, involving typing of letters, reports, patient referrals in anaccurate, timely and quality manner.
To act as the link between clinicians and clinical correspondencein the Practice; Scanning, Coding and Matching externally received documentationat point of source using SystmOne
To schedule, compile and record patient information relevant tomedical consultations with healthcare clinicians and associated medicalcorrespondence.
To provide and maintain a high standard of patient communication via telephone, letter and SMS, delivered with a customer focus to the practicepopulation, adopting a professional and cordial manner at all times
To facilitate and help manage requests for Access to health records, Toprovide an efficient, typing and word processing service for the clinicians and other Health Professionals as required.
This includes the typing of letters, reports,patient referrals etc. accurately and to a high standard
Tobe fully trained in the use of the e-referral appointments system, makingappointments as well as being able to use and monitor the system on behalf ofthe Practice.
Todeal with all GPs incoming work attracting a private fee insurance reportrequests and medicals, including the photocopying / printing off of patientrecords and the typing up of reports etc. as required.
Toestablish and maintain filing and administrative systems so that written orcomputer information is easily accessible and secure
Toprovide a high standard of patient communication, delivered with customer focusto practice population, adopting a professional and cordial manner at all times
Toretrieve medical records and process requests for copies of medical records inaccordance with the Protocol
Facilitatereferrals to the appropriate departments of secondary care and otherorganisations as required.
Code,scan and match documents onto SystmOne as they come into the surgery on a dailybasis.
Systematically administer and processdocument workflow in line with Practice policies and procedures, ensuring thatrequests are accurately recorded in a timely manner and in accordance withagreed Practice protocols
Action Tasks from clinicians and use there-scheduling system to chase and follow-up requests in a consistent anduniformed manner
Answer telephone calls and deal with(ad-hoc) face to face enquiries from patients about their healthcare needs.
Produceand submit invoices when required, adding the entry on the accountsspreadsheet. Check the accountsspreadsheet on a regular basis to ensure payment has been made and chase asnecessary
Maintaina spreadsheet for urgent and 2 week wait referrals and check on a regular basisto ensure that patient has been seen by the Hospital within the requiredtimescale.
Receiveincoming and initiate outgoing telephone calls in order to facilitate timelyand appropriate communications with others, taking messages and dealing withappropriate queries
Useof AccuRX to communicate with patients.
Toprovide cover for members of the Team during periods of sicknessand annual leave
Undertakeadditional duties that may reasonably be expected by the GPs or PracticeManager
Proficientuse of SystmOne, DXS and other related software
Useand understand medical terminology
Maintaina spreadsheet for 24hour ECGs, configure tapes, download and liaise with theprovider
- Knowledge of medical terminology
- Strong IT skills including a high level of proficiency in software programmes such as Word, Power Point, Excel, Access and Outlook
- Excellent written and verbal communication skills to draft letters, briefing notes etc. and high attention to detail
- Ability to manage a heavy and demanding workload and work under pressure to meet deadlines
- NHS specific IT system experience such as SystmOne, ERS, and DXS
- Understanding of NHS services
- Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records.
