Full Job Description

The purpose of the role is to effectively manage payroll and benefits for kp employees in the UK, including leading the project management for our SDW Worx payroll systems update. This job is a fixed term contract until January 2025.

Scope of the job:

The main area of responsibility is divided into three parts:
1. Prepare and conduct a full audit of the UK payroll processes. This includes identifying potential compliance- and risk issues including National Minimum Wage. Work with the UK&I HR team and business stakeholders to resolve any potential issues.
2. Effectively plan, implement and deliver SDW software payroll upgrade by no later than December 1, 2024 - ideally already by end September 2024. Manage the payroll upgrade project in line with deadlines and within budget.
3. Oversee and manage the monthly payroll- and benefits process for the UK employees (approx. 500) across our three sites. Ensure that pay is processed correctly and on-time. Evaluate service levels and cost and make recommendations for improvements.

Leadership:

There are no direct reports to this role and this is an individual contributor role. However, the incumbent will work closely with the UK Payroll Officer and manage and coach to ensure that we deliver on the defined priorities mentioned above.

Tasks and responsibilities:

  • Conduct payroll audit. Build and implement mitigation actions in close collaboration with the UK HR team and business stakeholders.

  • Ensure full compliance within the business to legal and Company requirements.

  • Develop and implement the UK Payroll software upgrade project plan, including defining project scope, objectives, deliverables, and timelines

  • Manage project resources, including personnel, budget, and technology, to meet project goals effectively.

  • Monitor project progress, identify potential risks or issues, and develop contingency plans.

  • Communicate project status updates, milestones, and issues to stakeholders, including senior management, in a clear and timely manner

  • Provide training and support to end-users on new payroll processes, systems, and procedures.

  • Provide guidance and support on all payroll related matters to the line managers covering the entire employee life cycle.

  • Managing ad hoc enquiries from managers, employees and external contacts.

  • Maintenance and administration of the Time & Attendance Systems including shift patterns, structures, access rights and generation of photo ID Cards.

  • Provision of financial information and reconciliation of payroll related control accounts.

  • Completion and publication of weekly and monthly reports to all aspects of the business including absence production hours, overtime and hours works, and costs.

  • Manage and liaise the external benefit providers and provide reports where applicable.

    Knowledge of UK payroll legislation and best working practices is critical. Also, it is an advantage to have in-depth working experience with SDW systems.


  • Education:
  • CIPP qualification preferred


  • Functional / Technical Skills:
  • Time and attendance system knowledge

  • Good intellect and hands-on, true can-do mindset

  • Strong excel Skills.

  • Proven project management experience, including presenting at senior level

  • Driving licence is essential


  • Experience:
  • Proven track record of successfully managing complex projects from initiation to completion

  • Extensive Payroll and Benefits experience

  • Experience of leading and implementing Payroll Improvement Projects

  • Experience of working with external payroll providers - SD Worx would be advantageous

  • Experience of working in a manufacturing environment is desirable

  • Experience of working in a unionised environment is desirable
