Full Job Description

We are seeking an experienced Finance Officer to run day to day finances at UKGBC. The focus of the position is to support the work of the team of passionate individuals with a collective mission to radically improve the sustainability of the built environment in the face of climate and ecological emergencies.

You will report to the Finance Manager. You will be responsible for UKGBC's financial transacting, month end preparation, enforcing financial controls and procedures. To be successful in this role, you will be competent, hard-working, and following guidance you will be happy to work on your own. You must also have excellent communication skills and preferably a keen interest in sustainability and the built environment.

  • Raise invoices, co-ordinate and communicate with functional teams. Apply cash on receipt, reconcile sales ledger activity to sales software.

  • Post grant funds in accordance with Finance Manager Instructions


  • Purchase Ledger
  • Obtain invoice authorizations, code invoices and post to the accounting software.

  • Compile supplier payments runs, set up payments on both accounting and banking software.


  • Accounting
  • Set up pre-payments and accruals

  • Process company credit card and staff expenses.

  • Maintain the Deferred Membership record, posting income releases

  • Maintain the Fixed Asset register

  • Prepare and Post month end journals

  • Reconcile all balance sheet accounts at month end

  • Assist with year-end audit queries

  • Prepare monthly cost centre level reports, as directed by the Finance Manager

  • Prepare VAT return, EC Sales list

  • Assist with year end and new FY setups


  • Cashbook and Banking
  • Download bank statements, match to transactions and post

  • Reconcile bank accounts, monthly

  • Set up monthly payroll and supplier payment runs

  • Ad hoc banking - pay in cheques


  • General
  • Assist with lap top setup for new starters, co-ordinating with IT provider.

  • Monitor the accounts email account

  • Check the mail, scan, and distribute.

  • Order and control stationery and sundries

  • Being a key point of contact for other teams on financial and accounting matters

  • Assist and support the Finance Manager as and where necessary

    Interest in sustainability and the built environment

  • Strong organisational skills including great attention to detail.

  • Good communication and relationship-building skills.

  • A collaborative and supportive team player.

  • Uses own initiative and takes on accountability.

  • Enthusiastic and self-motivated, with a mindset of continuous improvement.

  • Able to maintain the strictest confidentiality.

  • AAT Member (Affiliate considered) or equivalent.

  • Good (grade 5) GCSEs in Maths and English

  • Very strong MS Excel skills.

  • Experience of finance in an SME

  • Extensive use of either Sage/Zero/Quickbooks
