Full Job Description

The Facilities and Office Coordinator plays a crucial role in ensuring the smooth functioning of our workplace environment at our 2 Doncaster sites. This position involves managing facilities, office operations, and providing administrative support to various departments.

  • Oversee the maintenance and operation of facilities, including office space, equipment, and utilities.

  • Coordinate with contractors and service providers for repairs, maintenance, and installations.

  • Conduct regular inspections to ensure compliance with safety and environmental regulation's office security systems, including access control and surveillance.

  • Maintain office supply inventory and reorder supplies as needed.

  • Develop and implement office policies and procedures to enhance operational effectiveness.

  • Handle incoming and outgoing deliveries, post and telephone calls.

  • Assist with scheduling meetings, appointments, and events.

  • Prepare meeting rooms and necessary materials for presentations and conferences.

  • Serve as a point of contact for employees regarding facility-related issues and requests.

  • Ensure compliance with health and safety regulations and maintain records accordingly.

  • Conduct fire tests and appropriate actions arising from any issues alongside the relevant team managers.

  • Provide support and administration duties to the UK Group Safety & Services Director scheduling appointments and meetings, collating travel plans and relevant accommodation as required.

  • Produce meeting plans, summary notes, presentations alongside preparation of minutes and confidential note taking.

  • Providing general administration and coordination support to directors as required.

  • Liaising with senior stakeholders both in the UK and Powerlines Group.

  • Assist as directed.

    Confidential, detail oriented, organised, and possess excellent communication skills to effectively coordinate tasks and address facility-related issues.

  • Excellent IT skills with a creative yet professional approach

  • Proactive work approach with the ability to adapt to meet relevant requirements.

  • Able to deal with restricted deadlines and short notice changes.

  • Proven experience in facilities management, office administration, or similar role.

  • Strong knowledge of facility operations, including building maintenance, fire systems, and security protocols.

  • Excellent communication, interpersonal, and problem-solving skills.

  • Ability to multitask, prioritise tasks, and work effectively under pressure.

  • Knowledge of health and safety regulations and compliance standard
