Full Job Description

We are seeking a diligent and attentive Facilities Assistant to join our team at a prestigious London Art Gallery. The successful candidate will play a crucial role in assisting the Senior FM in maintaining the gallery's facilities, ensuring a safe, clean, and inviting environment for visitors and staff alike. This role is critical in enabling the smooth operation of the gallery, and enhancing the visitor experience.,

  • Assist the Senior FM in the daily running of FM services and help the organisation meet compliance requirements.

  • Support the SFM in various administrative tasks, maintain up-to-date records and files for all building-related activity

  • Perform daily checks and routine inspections of the public gallery spaces and staff areas, identifying and reporting any maintenance issues or hazards.

  • Assist in office or furniture moves, furniture assembly, including IT hardware installs or initiatives

  • Assist in the management of FM/IT inventory, record keeping, and cleaning and maintenance supplies, placing orders as necessary while adhering to budget constraints.

  • 1st line support for FM Helpdesk enquiries and ad-hoc support for FM / IT services

  • When required, help coordinate external contractors for specialised maintenance and repair work, ensuring all tasks are completed on time and to the required standards.

  • Respond to facility-related emergencies promptly and efficiently.

  • Assist in H&S issues and help the organisation meet fire regulations and other legal requirements.

  • Provide support during gallery events, including ad hoc install/deinstall of furniture and equipment when needed, and be part of the emergency response team.

  • Willingness to help out with every kind of day-to-day issue that may arise

  • Participate in emergency planning and be part of the emergency response team.

You also like to help find solutions in your workflow and tasks and are solution-driven when challenges arise., Previous experience in facilities maintenance and or related field, preferably within a cultural or public-facing environment.

  • Strong organisational skills and attention to detail.

  • Ability to work independently and as part of a team.

  • Good communication and interpersonal skills, both verbal and written and capable to work with team members and contractors.

  • A proactive approach to health and safety and problem-solving.

  • Familiarity with health and safety regulations and a commitment to maintaining high standards of cleanliness and operational efficiency.

  • Good computer literacy skills


  • Desirable:

  • An interest in service and operational delivery in a public facing setting, or cultural institution.

  • Flexibility to work out of hours and or weekends, evenings, and holidays as needed.

  • Qualifications in facilities management, or a related discipline.

  • Physical fitness, as the role involves manual handling of materials and or furniture when required.

  • Good understanding of MacOS/desktops and iOS desirable

  • First Aid and Fire Marshal Certificates
