Full Job Description

Thomas Lyte is looking for a dedicated and enthusiastic Distribution Manager to work in our state-of-the-art London workshop.

Reporting to the Operations Manager, the role represents an integral part of the workshop team, providing direction and support in the service delivery of some of the world's most iconic sporting trophies as well as an array of bespoke pieces, both modern and historic.

As with all roles within our workshop, we must emphasise that total concentration and focus is required at all times to ensure the safety of all personnel. This is a busy working environment and successful applicants will need to be fully conscious and mindful of the pace and strength of machinery being operated.

Location

This role will be based at our workshop in Hainault, East London (IG6).

  • Responsibilities of the Role

    Order Management
  • Manage the distribution team to ensure orders are delivered to a high standard (product and packaging), safely and on time


  • Update and manage aspects of the Production Report


  • Manage in house corporate personalising and engraving schedule


  • Goods Receipt
  • Track and chase inward shipments from suppliers, escalating issues where necessary to ensure shipments arrive on time


  • Control inward IPR shipments, ensuring correct customs procedures are used


  • Goods receipt and 100% quality check inward products within 24 hours of their arrival


  • Ensure all workshop shipments are passed on to workshop team for QC and labelling before storing


  • Update and Disseminate a Day-End Report to all relevant staff on all goods in and goods out


  • Stock Control
  • Ensure stock items are protected and stored appropriately, and the warehouse is always kept neat and orderly


  • Record all stock movements; track and control samples including high value and bespoke items e.g., silverware and samples


  • Perform quarterly stock takes, investigate any differences and report results


  • Run and update monthly stock reports including bespoke items


  • Control movement of tooling


  • Ensure project stock is labelled and stored safely


  • Ensure finished project components are stored safely


  • Take full control of warehouse so it is a 'closed system' - products/components can only go in/out through yourself


  • Ensure all issues are reported/logged, be it supplier, quality, internal or courier


  • Goods Despatch
  • Provide accurate and timely delivery quotes to sales team identifying different options and costs, including allowances for duties and taxes


  • Control outward shipments of IPR shipments ensuring all documentation is logged for quarterly review


  • Organise and schedule sales order deliveries ensuring all details are correct, and for overseas deliveries paperwork is complete and accurate including commercial invoices, packing lists, ATRs and any other specific requirements


  • Ensure deliveries reach their destinations; keep tracking from collection to delivery to client


  • Provide quick response to customs authorities on queries and ensure there is no break to the product journey


  • Communicate tracking information internally (and potentially externally if required)


  • Live SOP check to be carried out monthly to ensure all orders have been dispatched as scheduled and Sage is up to date


  • Ensure Quality Control procedures are adhered to including non-conformance reporting


  • Organise deliveries where required to workshop outsourcers (as and when required)


  • Managing the relationships and improving the procedures with our main couriers, including DHL Global Forwarding & DHL Express


  • Management and Reporting
  • Organise and motivate the Distribution team to ensure they work with high efficiency and stay ahead of schedule


  • Update Dashboard weekly

    Ability to develop and mentor Distribution Team staff


  • Highly experienced in customs, imports and exports


  • Proven stock management experience


  • Excellent written and oral communication skills


  • Ability to use and improve internal systems, including procedures and controls


  • Effective negotiation and influencing skills


  • Knowledge and appreciation of luxury products


  • Strong IT skills and knowledge


  • Full, clean driving license is an essential requirement
