Full Job Description

Millwall Football Club are looking to recruit a highly motivated and competent Commercial Assistant to join the commercial team at this London sporting event venue.

As this is an established venue you will also be responsible for providing exceptional administrative support to our commercial team by assisting in dealing with customer queries, processing payments, organising logistical and operational requirements around matchdays, as well as conference and events.

The role is varied and will vary day to day as required but will primarily involve working with internal and external clients, taking initial phone and email enquiries, and supporting on matchday sponsorship and hospitality and event delivery, including coordination with clients and liaising with chefs and other operational staff. The role is a great opportunity for someone to get a varied experience of working in a busy commercial team and would suit someone with ambitions to have a career in commercial partnerships sales and management or hospitality sales and delivery.

Key Responsibilities:

The role includes, but is not limited to:
· Dealing with phone and email queries from current and prospective customers, ensuring these are dealt with in a timely and professional manner

· Supporting the sales executives in processing inbound sales

· Assisting in event planning and set up, both for matchdays and other events at the stadium

· Processing payments for customers and providing order confirmation, as well as required information and ticketing where applicable, whilst ensuring internal reporting of sales completed

· Processing invoice requests, liaising with finance team and assisting colleagues with checking on the status customer payments keeping accurate records at all times

· Assisting with Partnership rights tracking and delivery

· Working with the catering team to ensure customer volumes for matchdays are clearly planned and communicated (including any special requirements) and event planning is communicated and understood internally

· Maintaining and updating sales and customer records

· General office and administrative duties, including filing and scanning and maintaining sales records, This document is a guide only and should not be regarded as exclusive or exhaustive. MFC's Safeguarding Ethos

MFC will always seek to provide protection to any person that receives our services. To this end MFC will provide staff and volunteers with guidance on procedures they should adopt in the event that they suspect a person may be experiencing, or be at risk of, harm. Safeguarding at MFC

MFC places the safeguarding of children, young people and adults at risk as its prime focus and has developed full safeguarding policies and procedures. To underpin the approach, MFC ensures all of its management team, staff members and volunteers have been fully trained in safeguarding to enable the organisation to live and breathe its approach. In developing MFC's safeguarding policies and procedures, the organisation has adopted the following three-part safeguarding strategy which focuses on:

1. Getting the right people involved with MFC

This is achieved through adherence to MFC's Safer Recruitment Policies and Procedures.

2. Creating a safe environment for children, young people & adults at risk

This is achieved by providing all required safeguarding training, support and best practice advice; and further guidance by the effective communication of MFC's Codes of Conduct.

3. Promoting clear systems to deal with any safeguarding concerns

This is achieved through implementation of all MFC's policies and procedures relating to safeguarding.

Desired Requirements:
· Previous experience in an administrative role would be advantageous
· Experience using sales, CRM and ticketing systems.

Hours of work: You will be required to work between 9.00am and 5.00pm Monday to Friday, and you will be expected to work as reasonably required to fulfil the needs of the business. The post holder will be required to work on home match days, both evenings and weekends.
