Full Job Description

  • Support project managers with admin tasks to support smooth running of the groups.

  • Support the IT & Facilities Manager with basic petty cash, income collection and finance systems.

  • Support IT and Facilities Manager on functions to support the smooth running of the organisation.

  • Input data into the VIEWS database and keep this regularly up to date.

  • Assist with the collation of monitoring data for reporting purposes.

  • Assist with minute taking.

  • Support archiving of documents.


  • Project Support
  • Provide daily support to the project facilitator, welcoming group members, making drinks and supporting activities within the group as needed.

  • Set up and clear down rooms used by groups.

  • Help complete any paperwork used by the group.

  • Help keep group members up to date with activities and any new group sessions or changes to the groups.

  • Support distribution of information to groups such as newsletters, resource packs and relevant information.

  • Work closely with colleagues across all teams to support administrative tasks and projects as required.

  • Contribute to the running of community events and external projects.


  • Building Support
  • Complete the daily/weekly building checklist and file appropriately, reporting issues directly to the IT & Facilities Manager.

  • Monitor information on notice boards and display information agreed by the IT & Facilities Manager.

  • Help keep the building and offices secure, tidy and safe.


  • Reception Cover
  • Provide cover support for reception including manning the reception, photocopying, postage, and other general administration.

  • Answer KHL phone calls in a welcoming, professional, and efficient manner, recording messages and passing them on appropriately.

  • Respond appropriately to requests made by users of the building and ensure each request is dealt with efficiently and sensitively.

  • Route incoming mail and process outgoing mail.

  • The training you will be getting

    We will coach and develop the apprentice in their job role and support them in gathering the required evidence for the apprenticeship standard. We will carry out both curriculum and pastoral care. We will carry out the skills development workshop days on day release at college. We will oversee the teaching and learning around the knowledge, behaviours and skills elements of the qualifications, outlined below. We will manage the apprentice's OneFile account ensuring targets, milestones and deadlines are achieved.

    Mode of delivery: Training, observations and assessments carried out in the workplace. An assessor will visit the place of work every 6-8 weeks.

The applicant will need to have knowledge and experience of Microsoft Office programmes, minute-taking, typing and the voluntary sector and local organisations and demonstrate an understanding of the importance of confidentiality and safeguarding.
