Full Job Description

Reporting into the Advertising Mail Product Executive, you will provide administration support for our Retail Mail Advertising products.

This is a Hybrid working role with a requirement to attend your closest geographical Royal Mail office, Oxford, London or Dearne (Barnsley), with flexibility required in line with business needs. Please note, you will be supporting a nationally based team, with occasional attendance required at team meetings at various sites across the country, other than Head office (London).

About the Role
You will assist the Product Executive, Product Manager and Head of Retail Mail by providing administration support to Retail Mail with a focus on Advertising Mail Products, including:

  • Preparing baselines for Door to Door (D2D) incentives and maintaining the D2D Incentives tracker to support with pipeline reporting

  • Managing credit review dates and preparing incentive approval files

  • Managing expiration and review dates for bespoke upfront pricing incentives

  • Monitoring D2D contract pricing

  • Reporting weekly invoice reports to Reseller Partners

  • Administrative support for the Reseller Partner scheme


  • You'll support the D2D team, checking customer/client New User and Late Booking eligibility, whilst dealing with ad hoc requests for data checks and other duties or tasks as demands change (e.g., customer data extraction and reporting).

    You will aid the development of product/sales materials and routine collateral updates. You'll be the administrator for the Retail Mail Door to Door inbox and Retail Mail Team SharePoint. Alongside this, you will raise Purchase Orders for the Retail Mail Team - managing approvals and updating stakeholders.

    You will deal with telephone and email enquiries from both internal and external customers of Retail Mail, and colleagues across the business. You'll need to be both flexible and adaptable working in a fast-paced environment, supporting routine and ad hoc reporting requests, pricing deals, incentives and frameworks.

  • Strong Analytical Skills with the ability to collect, organise, analyse and disseminate a significant amount of data with attention to detail and accuracy

  • Good stakeholder management, proactive in maintaining things happen through people

  • Highly organized and disciplined, with ability to work to tight timelines and meet key milestones

  • Strong relationships across multiple business units and confident liaising with a diverse mix of stakeholder groups

  • Excellent computer skills, with good working knowledge of MS office including Excel, Word and Power Point

  • Willingness to learn and understand new processes and ways of working as required

  • Self-directing and adaptable to changing demands of the team

  • Problem solving with the ability to investigate and troubleshoot to handle and resolve issues/queries


  • Experience
  • Working as part of a wider team to deliver targeted outcomes

  • Experience of working with MS Excel and other reporting packages

  • Experience in engaging with customers and stakeholders with the ability to communicate effectively across all levels via email and telephone

  • Experience of revenue protection and data analysis would be an advantage

  • Good understanding of Royal Mail Door to Door and the operational network is desirable
