Full Job Description

We are seeking an Administration Assistant to join our dynamic team, specialising in SIP (Structural Insulated Panels) Kits. This role is pivotal in ensuring smooth operations within the division by managing proposals, handling enquiries via telephone, sourcing costings, and efficiently managing orders. The ideal candidate will possess excellent organisational skills, attention to detail, and the ability to thrive in a fast-paced environment.

Responsibilities:

  • Proposal Management:

  • Finalise proposals for SIP Kits quotations.

  • Ensure proposals are comprehensive, accurate, and aligned with customer requirements.

  • Track proposal progress and follow up as necessary to meet deadlines.

  • Telephone Communication:

  • Provide prompt and professional responses to customer queries regarding SIP Kits, pricing, lead times, and order status.

  • Direct calls to appropriate team members when necessary and escalate issues as needed.

  • Costings Sourcing:

  • Research and gather pricing information from suppliers and internal databases for components required in SIP Kits.

  • Analyse cost data to ensure competitiveness while maintaining quality standards.

  • Collaborate with procurement and finance teams to validate costings and negotiate pricing when necessary.

  • Order Management:

  • Manage orders for SIP Kits, ensuring accuracy and timelines.

  • Coordinate with production, logistics, and factory teams to fulfil orders efficiently.

  • Monitor order status and resolve any issues related to delivery or quality.

  • Administrative Support:

  • Maintain organised records of proposals, costings, orders, and customer communications.

  • Generate reports as required to track divisional performance metrics.

  • Assist in general administrative tasks to support the smooth functioning of the SIP Kits division.

  • Obtain online reviews from customers

  • Obtain photographs from project completition.

    Proven experience in administration, preferably in a role involving proposal management and order processing.

  • Excellent communication skills, both verbal and written, with a professional telephone manner.

  • Strong attention to detail and ability to manage multiple tasks simultaneously.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM software.

  • Knowledge of construction or building materials industry.

  • Ability to work collaboratively in a team environment and adapt to changing priorities.
