Full Job Description

Baddow Village Surgery is recruiting for a part-time workflow clerk to assist GPs with the flow of correspondence that comes into the partnership.

The workflow clerk will deal with hospital letters, reports, patient communications, etc., identifying any key clinical data from correspondence, such as new diagnoses, peak flow measures, BP recordings, height, weight, smoking status and read coding the information accordingly.

The main duties of the job include:

  • Scanning of letters and relevant correspondence into patients notes;

  • Read Coding the information into the partnership's clinical system;

  • Transferring relevant data from clinical correspondence and input into electronic patient record;

  • Workflow all correspondence, according to the partnership's protocol, using the software and actioning as appropriate;

  • Filing and retrieving paperwork;

  • Filing copies of discharge summaries electronically; Ensuring security of data at all times.

  • Experienced medical administrators, with excellent IT and typing skills.

  • Coding experience is required

  • SystemOne experience desired

  • Experienced in the use of medical terminology and read codes;

  • Adaptable and friendly, with strong administration, time management and organisational skills;

  • Excellent communicators, both written and orally;

  • Able to work in a confidential and discreet manner;

  • Able to "think on their feet" in a busy working environment;

  • Able to multi-task, work hard and maintain a high level of attention to detail, when under pressure;

  • Able to work as part of a multi-disciplinary team, as well as comfortable working independently.


  • Some flexibility is required as you will sometimes need to work additional or alternative hours to cover for colleagues.
