Full Job Description

Primary Function

The main purpose of the System Administrator role at Action4Youth is to provide essential support in configuring, maintaining, upgrading and managing Salesforce. Action4Youth are at a critical stage of roll-out of the system and the System Administrator will work with internal teams to configure user interfaces and Salesforce objects to provide the most efficient and effective platform for holding data on our customers, stakeholders, fundraising and sales opportunities and programmes.

The role will ensure the integrity of new and existing data, which could involve export, cleanse, and re-import. The System Administrator will ensure the successful and cost-effective integration of data from other sources including platforms such as Cinolla JustGiving, DonorBox, Mailchimp (or other similar products), and various types of webform. The System Administrator will proactively work to find efficiencies within all of the platforms with which we work.

Action4Youth has an external ICT Support company which deals with hardware and network maintenance and security, so the System Administrator will need to work closely with this provider at times. This role plays a vital part in ensuring the smooth operation of our technology infrastructure, enabling us to effectively carry out our mission-driven work.,

  • Software Maintenance: Configure, integrate and manage software systems, with a focus on Salesforce, Cinolla and Webforms. Upgrade systems with new releases and models.

  • Data Update and Validation: Ensure the validity of data by utilising data cleansing techniques, importing from other platforms and webforms, ensuring colleagues know how to correctly enter data into the systems for best results.

  • System Efficiency: Proactively seek further efficiencies within the systems with which we work. Collaborate with external providers and colleagues to ensure that our technology infrastructure runs smoothly and efficiently, supporting our organisation's goals and objectives.

  • Staff training: Ensure that users know how to use the systems appropriately and understand their responsibilities within their own areas of work. Develop expertise to train staff on new technologies.

  • Problem Resolution: Diagnosing and resolving technical issues quickly and efficiently, ensuring minimal disruption to operations.

  • Internal Communication: Demonstrate patience and effective communication skills while liaising with all internal teams and users to address their technology-related needs and concerns.

  • Support events and meetings when required.

  • Effectively monitor, report and evaluate all aspects of work.

  • Support the continued development of quality standards as specified by Action4Youth.

  • To have regard for the vision of Action4Youth and to display a commitment to equal opportunities and to the protection and safeguarding of children, young people and vulnerable adults.

  • Report any behaviour, conversations or comments which are inappropriate within a setting for children and young people.


  • Other Duties

    To carry out any other Action4Youth duties as required by the Director of Finance and Operations, SMT or CEO including:

    Attending meetings as required
  • Fulfilling any other reasonable duties requested by the Director of Finance and Operations, SMT or CEO

  • Providing written reports for Action4Youth meetings when required.

  • Administering own workload which includes meeting targets and deadlines in line with the Action4Youth Performance Management System.

  • Attending relevant CPD training events in line with Performance Management appraisal.

  • Undertaking responsibility, as part of the team, for all Health and Safety work related matters.

  • Working within the guidelines of Action4Youth policies and procedures.

    Excellent administrative and ICT skills (E)


  • Proven experience of using Microsoft Office (Word, Excel, PowerPoint and Outlook). (E)

    Strong knowledge of Salesforce system, with experience in managing user interfaces and customisation of objects (no coding required). (E)

    Familiarity with various CRMs, operating systems and platforms(E)

    Experience of using Cinolla, Webformsv(D)

    Good basic arithmetic skills (E)

    Proven experience of working as a system administrator with a significant level of responsibility. (E)

    Full Driving Licence and use of a vehicle (D)

    Qualifications

    Educated to GCSE/ O Level with A
  • - C or equivalent in English and Maths. (E)
