Full Job Description

We are looking to recruit a Studio Administrator in our Birmingham studio, located on Edmund Street in the city centre. The role is a part time, permanent role, consisting of 22.5 hours a week, wholly based in the studio. These hours can be worked flexibly, they can be spread over five days or be worked as 3 full days., BDP is a leading design practice and we have a staff of 30 talented Architects and Engineers based in this Studio. As the studio administrator your role will be really varied, providing support to the studio Directors and Associates, and ensuring studio life runs seamlessly. You'll also be that 'go to' person for the rest of the studio, assisting where needed, receiving and welcoming guests, taking general calls to the studio and managing deliveries and post.

On a daily basis the successful candidate will make sure the studio gives the best impression to our visitors and remains a great studio working environment by checking that it is kept clean and tidy, welcoming visitors to the studio and making refreshments. You will help to manage the office diary by booking meetings and ordering meeting lunches when required, booking travel arrangements for local and occasionally international travel using our travel booking system. Scanning documents, filing and document control will be a regular part of your remit.

Monthly tasks will include ordering office supplies, assisting with expense and credit card statements (for finance to process), keeping a log of IT equipment, ordering IT supplies and assisting with H&S reporting tasks. You will also assist with the studio marketing including organising marketing and studio social events, as well as booking CPD and professional/networking events.

Occasional tasks would include assisting with the recruitment processes (usually 2-4 recruitment rounds per year) using our ATS system (training will be given), undertaking new starter inductions, studio introductions and helping them settle in. We would also need administrative assistance with studio auditing, archiving and storage.

It's a fantastically varied role requiring someone who is a confident communicator, proactive, self-motivated, organised, reliable and driven by getting the job done to a high standard. For our Clients, guests and visitors, you will be the face of BDP Birmingham.

In order to be considered you must have previous support experience in a busy environment and an unflappable nature with the ability to prioritise, switch tasks and refocus. You will be flexible to meet the changing demands of the role, which can include housekeeping tasks such as making guests' coffee and doing the daily post, and role critical tasks of document controlling and report preparation which are part of our design and quality assurance process.

Proficiency in using in Microsoft Office suite including Outlook and Word for formatting and structuring reports and letters is essential.

Experience using Adobe InDesign is preferred but not essential, as training will be given in this software.
