Full Job Description

This is a part-time (2/3 days a week) role, for a Receptionist/Assistant at the Townhouse Clinic in Bath. This role could offer the exciting potential to evolve into a full-time position. You need to be available on Mondays, Thursdays and Fridays., · Answer phone calls and monitor emails, WhatsApp, reply across all of our social media platforms.

· Greet patients, making them feel comfortable, offer to take their jacket/coat, offer them a drink etc

· Book and coordinate patient's appointments - both on the phone and via other accepted methods of communication with the clinic.

· Take and record payments, including chasing of any outstanding payments. This is will also include taking appointment deposits over the phone or send clients the payment link online.

· Reply to and send emails. This will generally be to patients, but the management may ask you to respond to other emails such as suppliers and other external contacts.

· Send Google review invites.

· Liaise with Pabau (practice software) regarding troubleshooting and updates.

· Invite patients to Clever Patients. Clever Patients is an online shop which enables patients to buy their Obagi products from us easily.

· Keep the clinic, reception and waiting room areas clean and tidy and monitor other areas to ensure the same.

· Make goodie bags for clients and order products for these goodie bags as needed, subject to approval by Dr Lucy Middlefell.

· Order stock and monitor stock levels.

· Undergo training as may be needed to develop your skills and abilities.

· Attend statutory and mandatory training as required by the clinic, both as required by the national regulations and the clinic.

The ideal candidate is a detail-oriented team player who will be the first point of contact for patients at the Townhouse Clinic, greeting them in a polite and well-spoken manner. An interest in skincare is preferred. You will be assigned duties as required (i.e. organization of email, administrative work, and general clerical support)., · GCSE's or relevant work experience

· Excellent customer service skills

· The ability to work well with others

· To be thorough and pay attention to detail

· Administration skills

· Good knowledge of computer software programs (comfortable using MAC and other system software)

· Ability to maintain a positive attitude

· Excellent communication skills

· Familiarity with Microsoft Word and Excel is a must

· Digitally proficient,

  • GCSE or equivalent (preferred)


  • Experience:
  • Customer service: 1 year (preferred)

  • Administrative experience: 1 year (preferred)

  • English (required)
