Full Job Description

The purpose of the Order-To-Cash (OTC) Manager role is to oversee the day-to-day operations of the OTC team within the Finance Shared Services (FSS). The OTC Manager will be part of the FSS leadership team, requiring building strong working relationship with the process Global Process Owner (GPO) to contribute to the future OTC strategy based on operational and delivery knowledge.
The role is responsible for managing relationships with internal Bakkavor stakeholders and external customers, ensuring an efficient and effective delivery of the OTC process within the FSS, supports the team, and ensures that the customers have paid on time (amongst other outcomes) whilst adhering to Bakkavor controls and governance requirements. The person is also responsible for managing the escalations, audits, and process continuous improvement..
The responsibilities include:
Billing

  • Oversee and effectively manage creation and submission of sales invoice activities performed by the OTC team


  • Oversee maintenance of customer invoice portals and drive the OTC team to keep system up to date and reconciled to Bakkavor records


  • Oversee distribution of sales invoices to customers, assuring the OTC team are using the right channels based on customer requirements to maintain prompt delivery of invoices


  • Review and improve format and content of invoices to enhance clarity and is in adherence to customer requirements


  • Credit Management
  • Resolve escalated cases by OTC Team Leader, making decisions and communicating with relevant stakeholders as needed


  • Utilise reports produced by OTC Team Leader to monitor level of customer credit risk


  • Maintain policies and procedures in line with GPO, reviewing and updating them as necessary


  • Escalate to Group as needed when maintaining key customer accounts


  • Collaborate with relevant stakeholders to maintain customer credit risk positions, policies and communicate any updates / changes to the OTC team


  • Account Receivables and Revenue Reconciliations
  • Assess provisions in place for bad debts, utilising AR ageing reports produced by OTC Associates to determine appropriate bad debt levels


  • Review reconciliations completed by OTC Associates to ensure it has been performed correctly


  • Liaise with OTC Team Leader to analyse reports to track performance and identify where improvements can be made


  • Debit Note Resolution and Cash Application
  • Oversee debit note resolution process and ensure they are reconciled and accounted for on timely and accurate basis and in line with agreed procedures


  • Troubleshoot escalated issues by making decisions and corresponding with the stakeholders as needed


  • Monitor unallocated cash to ensure those outstanding are reviewed and resolved promptly


  • Oversee account write offs and verify they have been performed in line with established Bakkavor's policies


  • Improve on reducing outstanding debtor days and sales not invoiced (SNIs) by reviewing policies and identifying where improvements can be made


  • Dispute Management
  • Continuously monitors customer disputes and intervenes and supports resolution as required


  • Leads on root cause analysis where dispute patterns are observed


  • Liaises with stakeholders (internal or external) on a case-by-case basis


  • Query Resolution
  • Ensure disputes and queries are resolved on time


  • Manage stakeholder issue escalation and resolution


  • Lead on negotiation of internal service level agreements and KPIs along with process GPO


  • Maintain strong stakeholder relationships to ensure the timely resolution of problems as well as being responsive to future needs


  • Audit and Internal Control
  • Continuously assessing internal controls environment within the OTC team, ensuring all internal controls, policy and governance requirements are always adhered by all team members and creating a vigilant and risk mitigation culture within the team


  • Participate, assist, and coordinate in all internal & external audit related activities


  • People Management
  • Foster a culture of leadership within the team, mentoring team members, and identifying potential leaders for future growth opportunities


  • Establish clear performance metrics such as SMART goals and KPIs to gauge the team's performance effectively

  • Working closely with the Head of FSS, process GPOs and business stakeholders to set


  • OTC key performance measures, monitors team performance against set measures on a regular basis and supports course correction activities where needed
  • Respond to customer feedback survey results on a timely basis


  • Working closely with the GPO/process excellence teams and OTC team to identify and


  • drive continuous improvement opportunities

  • Demonstratable experience of managing OTC teams supporting multiple business units from a shared services environment and delivering high quality services


  • Strong knowledge of financial systems and a deep understanding of Finance processes


  • Previous experience in working with Finance ERP systems, specifically with S/4 HANA preferred


  • Professional Qualified Accountant (ACA/ACCA/CIMA)


  • Demonstrate excellent employee management skills; ability to plan, assign and direct work;


  • ability to recruit, mentor and appraise employees

    Competitive salary
    Based in Spalding and Newark. (Expect to split time onsite between the 2 locations)
