Full Job Description

ORGANISATION

  • Undertake hospitality duties e.g. answering telephones, face to face enquiries, liaising with relevant staff, outside agencies and all stakeholders as well as meeting and greeting with visitors.

  • Assisting with arrangements for School team meetings and events.

  • Communicate effectively with staff and all stakeholders to ensure that tasks provided are complete and to a high standard.


  • ADMINISTRATION
  • Provide efficient routine clerical support such as photocopying, filing, emailing and completing forms.

  • Maintain manual and computerised records/management information systems.

  • Undertake typing, word-processing and other IT based tasks for example data entry or writing letters.

  • Sort and distribute mail.

  • Undertake routine administration in appropriate 'in house' Acklam Grange School style.

  • Resolve stakeholder queries in a timely manner.

  • Support the administration team in all areas of admin as instructed by your line manager.


  • FINANCE
  • To process invoices and purchase orders.

  • To check statement and purchase orders.

  • To keep an up to date record of budget/authorised signatures for audit purposes.

  • To distribute budget reports to budget holders on a regular basis or as and when required and report any discrepancies to the Finance Manager for resolution.

  • To support the finance team in the processing of information onto ParentPay software systems.

  • To process credit card orders and follow the procedures set out in the academy finance manual for processing invoices and updating capitation budgets.

  • To reconcile the petty cash boxes on a weekly basis.

  • To carry out monthly reconciliation of accounts as instructed by the Finance Manager.

  • To ensure a prompt and professional response to incoming internal/external telephone calls.

  • To make external calls on behalf of the academy as requested in a professional and appropriate manner.

  • Input data onto spreadsheets and MIS system as required.

  • To photocopy, file and circulate documents as appropriate.


  • RESOURCES
  • Operate office equipment e.g. photocopiers and computer appropriately.

  • Orderly arrangement and secure storage of supplies including ordering of a limited range of supplies.

You will also need to ensure all apprenticeship coursework is completed in a timely manner., Functional Skills in maths and English, if required., Communication skills, IT skills, Organisation skills, Team working, Initiative, Numeracy & Literacy skills, Microsoft Office knowledge, Able to relate to children, Time management, Confidentiality, Highly motivated, GCSE or equivalent English (Grade A-C/9-4) Desired
