Our reputable Northampton based client are currently seeking a Team Leader to join their business within the Secretarial department. This is a fantastic opportunity for anyone with previous supervisory, audio typing/proof reading experience to join a well-established, yet growing organisation.

Duties Include:

  • Daily management of all incoming reports and requests, delegating the workload as required, managing all workflow within the team
  • Assist customer services with any queries or escalate to the relevant department
  • Manage daily reports from the Customer Service Department to ensure reports adhere to SLA's
  • Monitor all inbox's to ensure all requests are dealt with in a timely manner and to relevant SLAs
  • Accurately process, format and proof read any pre-typed management reports prior to submission to employees/clients within the specified SLA's
  • Record details of reports dispatched on the system with instructions as to how the report is to be dispatched to the employee/client - taking into account the all relevant guidance
  • Adhere to the overall department SLA's to produce reports within 5 days of the consultation.
  • Send reports to the Duty Manager and then edit documents when received back as required.
  • Liaise with the Operations Director on a daily basis regarding work flow / volume
  • Liaise with various internal and external regarding report/client/employee/customer service queries.
  • Share knowledge of processes and terminology with other staff where needed.
  • Work as a team with colleagues within the department to ensure a high quality service is maintained at all times.
  • General Administration within the department to include ordering required stationary, processing department mail.
  • Promote an open, friendly working environment and maintain effective working relationships with colleagues.
  • To assist any member of the team or the company with queries when the Manager is not available. In the absence of the of the Operations Director you will be required to;
  • Liaise with the relevant business heads
  • Collate activity stats on a daily basis and submit said stats to the Deputy CEO when required
  • Manage the team and their performance

Skills and Experience Required:

  • No formal qualifications are required for this role however an NVQ 3, ILM 3 or equivalent is desired
  • Previous experience within a supervisory role is required
  • Previous experience within a proof reading role or audio typing role is essential
  • Analytical experience and an advanced knowledge of Excel is required
  • Previous experience of liaising and reporting to senior management
  • Administration Experience
  • Responsible attitude with a can-do approach to work
  • Reliable and trust worthy
  • Excellent written and verbal communication skills
  • Proficiency in Office package
  • Enthusiastic
  • Time planning & priority setting
  • Excellent typing skills and accuracy
  • Willing to learn new skills

Additional Info:

Salary: £19,000

Working Hours: 37.5 hours per week
