Business Administrator / Receptionist

Business Administrator / Receptionist- MENTA - The Enterprise Agency are committed to developing individuals to obtain business skills, knowledge and confidence to set up and grow their own business. We are currently recruiting a Business Administrator / Receptionist to join our organisation based in Bury St Edmunds, Suffolk.

The Business Administrator / Receptionist will be working in a small but friendly team on a part time basis working alternative weeks (26 weeks per annum - 8.30am to 5.00pm). In return we are offering a negotiable salary (c.£9,000-£9,500 per annum) depending on experience. 

This is an excellent opportunity for a Business Administrator / Receptionist, working with the Property Manager, to provide a friendly, effective and efficient front-line service to our customers and visitors to our business centre premises and to arrange and co-ordinate property maintenance in a timely fashion and according to health and safety regulations.

Summary of responsibilities:

  • Ensuring the Reception area is maintained and fully stocked with centre brochures, leaflets and tenants / virtual tenants handbooks are at hand.
  • To ensure that the CRM systems are updated as required.
  • Office duties including copying, faxing and scanning requirements, stationery, post and email
  • Booking and servicing of meeting room arranging catering and refreshments.
  • Ensure that all company policies, procedures and work practices are in place and communicated to occupiers in a professional manner.
  • Identifying opportunities for income generation and achieve lettings, including follow up, and closely monitoring all current prospects.
  • Provide attendance at internal and external networking events.
  • Preparation of reports and statistics and attend meetings as required.
  • Arrange for quotes and/or organise maintenance operatives to maintain the efficient running the site.
  • Work on individual projects relating to the property department and wider MENTA projects as directed to include the current ERDF funded project.
  • Ensure that office equipment and services are adequate to meet client demand and kept in good working order and liaise with contractors regarding any maintenance issues.
  • Ensure security systems are operating correctly and cleaning performance is consistent with Company requirements.

Skills and Attributes:

  • Confident self-starter who can demonstrable receptionist experience in a similar customer facing environment.
  • An excellent and confident telephone manner with a good command of the English language and its uses within an electronic environment such as social media and the internet.
  • Ability to use Word, Excel and Microsoft Office tools to a high standard.
  • Basic level knowledge and understanding of sales and marketing.
  • Minimum 5 GCSE passes including Maths & English or NVQ3 Business or Administration
