Our client is a leading UK IFA firm now looking for a self employed Personal Assistant/Administrator

DESCRIPTION

PA Duties:

· Appointment making, re-arrangement & confirmation – (2nd meetings onwards)

· Transcribing meeting notes and uploading to Curo

· Checking & responding to emails

· Email filing/flagging

· Updating CFR from Partner/Adviser dictation/notes of meeting.

· Allocating tasks post meeting and ensuring relevant team actions within deadline

· Adding client instruction emails onto Curo

· Preparation - prompting para-planner and Partner/Adviser for scheduled meetings (except first meetings) so he has the correct documents in place

· Checking suitability letters and highlighting key issues to Partner/Adviser for checking/querying

· Communicating any emails or query from Cirencester/Craigforth to Partner/Adviser immediately

· Existing client management

· Ordering/replenishing of stationery

Administrative duties:

· Provide comprehensive office administration support as directed by the Practice Manager; such support will include ongoing tasks as well as project-oriented activities

· Producing Illustrations

· Updating Curo with notes and client information and uploading FPS to Curo

· Process to completion business submissions (and all associated materials) on behalf of Partner/Adviser, including post-sale documentation, in line with the Practice policies, systems and procedures

· Ensure that business submissions achieve full Financial Services Authority regulatory and SJP and the Practice systems compliance

· Ensure that all business submission documentation is appropriately filed and/ or archived

· Ensure that client files are accurately maintained and updated in line with data protection requirements

· Support Practice leadership with administrative input as required.

REQUIREMENTS:

· Good GCSE results (or equivalent)

· At least two years’ experience in a PA support roles or office management roles

· At least two years’ experience in a business administration role (or equivalent)

· Outstanding organisation / administration skills

· Excellent communication skills – written and oral

· Excellent IT (all MS Office programmes) and data entry skills

· Ability to work effectively; independently and in teams

· Ability to meet deadlines while handling multiple concurrent projects

· Strong drive to achieve results

· Outgoing and positive personality

· Scrupulous attention to detail and accuracy

· Excellent interpersonal skills.
