Job Purpose

An opportunity has arisen for a Personal Assistant to provide a comprehensive, confidential and professional support service to the Chief EHS and Operations Officer, and other key leadership positions in the team.

Key responsibilities

You will proactively manage diaries, including scheduling meetings (face to face and conference calls) responding to meeting requests, resolving conflicts to ensure efficient use of time. Your skills will enable you to organise meetings and events which are held globally, Govern meeting documentation and materials; ensuring quality of inputs prior to meetings; supporting structured agendas, and, where required, produce and distribute minutes and post-meeting materials.

You will need to Support the other senior leadership positions based in the Royston Office and work closely with the other executive assistant and administrative teams to ensure a high quality, aligned administrative support function. Some duties will include type accurate, high quality external and internal correspondence, prepare reports and presentations as required, Create and maintain appropriate records, including taking and distributing minutes of meetings, filing, retrieval and follow up systems; Conduct research for travel, ensuring itineraries are time efficient and cost effective, Collate and make expense claims and screen incoming telephone calls, taking the initiative when dealing with enquiries. A full JD is available.

Are you the ideal candidate?

You will

  • Have excellent administration Skills
  • High Level hands on Personal / Executive Assistant experience with a good knowledge of office procedures and practices in a similar busy professional environment.
  • Experience with director level PA or EA is highly desirable
  • Have intermediate or above knowledge of Microsoft Word, Excel and PowerPoint.
  • Be detail orientated and meticulous and able to demonstrate high standards of work.
  • Have excellent communication skills - written and verbal; able to communicate effectively at all levels and develop effective working relationships across the business.
  • Be able to manage relationships internally and externally
  • Be able to give support and advise to other EA/PA's within the business as required
  • Ability to work alone or as part of an EA / PA team
  • Ability to travel to Farringdon once a week
