Job objectives and responsibilities

As a Senior Case Administrator you will work within the Offender Management Unit (OMU) at HMP Millsike, responsible for managing all aspects of a prisoner's 'case', including risk management, parole applications, and sentence planning. As a senior case administrator, you will contribute to the rehabilitation of prisoners by coordinating administrative support within the OMU, ensuring efficient operations alongside probation and prison colleagues.

The OMU is a fast-paced department that collaborates with internal and external agencies, such as local courts and police, offering opportunities for ongoing learning and training.

In this position, you will serve as a liaison between OMU Hub Managers, colleagues, and external partners. You will be part of a team of 3 x Senior case administrators which will be responsible for leading approximately 20 case administrators, managing staff development, performance, attendance, and health and safety. Your responsibilities include collating and analyzing information, developing systems, and compiling reports. You will use data to identify trends and ensure compliance with policies while enhancing performance. Successful applicants will receive mandatory training, including Sentence Calculation training, which you are expected to complete

The senior case administrator's primary role is to manage and develop the OMU Case Administrator staff while implementing business administration systems and databases to support operational delivery within the OMU Hub, in line with policies and procedures. The prison environment provides diverse and engaging tasks.

You will undertake transactional and administrative activities related to the Offender Management Unit and the broader goal of reducing reoffending. Key responsibilities include managing the Offender Assessment System (OASys), performing enhanced sentence calculations, arranging Release on Temporary Licence (RoTL), processing bail applications, coordinating Multi-Agency Public Protection Arrangements (MAPPA), handling prisoner re-categorisation, and managing recall paperwork. You will also oversee paperwork for prisoner transfers and releases, maintain records, take minutes, and represent the OMU Manager at meetings.

Additionally, you will support recruitment activities, organise accurate records, and ensure compliance with the Offender Management in Custody Model and related policies. You will have direct line responsibility for several Case Administrators, and your duties may include office management tasks due to the department's busy nature, requiring order, sensitive record keeping, and adherence to GDPR guidelines.

Essential Experience

Intermediate IT skills, such as proficiency in Microsoft Excel, Word, and Outlook, along with some experience in updating central data systems. The ability to communicate clearly in writing to meet customer expectations is essential. Additionally, there is evidence of providing support and assistance to colleagues in delivering quality service. Previous administration experience and a background in providing a wide range of management support activities are desirable.

Skills and Attributes

Strong verbal and written communication skills, a positive problem-solving approach, and data analysis capabilities. Organizational skills and the ability to work at a fast pace are important, as is a willingness to engage in continuous learning and complete training. Adaptability to change and the ability to adjust working practices in response to legislative and procedural updates are also crucial. Finally, the ability to work effectively as part of a team is essential.
