Full Job Description
This is an excellent opportunity for an experienced administrator to play a central role in supporting the success and growth of our development and apprenticeship programmes across the Service. Working closely with the Learning, Development and Assurance Manager for Surrey Fire and Rescue Service, as well as a wide range of internal and external stakeholders, you will help create the conditions for learners to thrive - ensuring their progress is well supported, records are accurate, and apprenticeship processes run smoothly from start to finish. In this varied and rewarding position, you'll be at the heart of programme delivery, overseeing the day-to-day administration that underpins a range of development and apprenticeship pathways within Surrey Fire and Rescue Service. From monitoring learner progress and maintaining robust, accurate records, to coordinating training and assessments, your work will help ensure every element is delivered to a high standard and remains fully compliant with Ofsted and awarding body requirements. Alongside this, you'll take an active role in supporting the effective management of apprenticeship levy funding and in shaping how we use OneFile online portfolios to support fire service qualifications. As a key point of contact, you'll also provide clear, practical guidance to new recruits, developing personnel, assessors and instructors - helping them confidently navigate development and apprenticeship processes and systems, and ensuring a consistent, high-quality experience for all involved. Your key responsibilities as a Learning and Development Administrator will include:
- Supporting the provision of all development and apprenticeship programmes in partnership with Surrey Adult Learning and other contracted providers
- Accurately monitoring and reporting on learner progress across all programmes
- Maintaining accurate records on OneFile, FireWatch and other systems
- Supporting preparations for Ofsted, HMICFRS and awarding body inspections
- Booking and coordinating Functional Skills training, examinations, gateway activity and End Point Assessments
- Delivering training on, and respond to, queries relating to OneFile and apprenticeship or other workforce development programme requirements
- Monitoring instructor and assessor qualifications and training requirements
- Tracking apprenticeship levy funding and expenditure
- Escalating issues, complaints or risks to the appropriate person where needed
A level (or equivalent) education - Level 2 Maths and English (grade 4/C+)
- Level 3 Award in Education and Training (AET), or willingness to achieve this in role.
- Previous relevant administrative experience
- Strong IT, organisational and analytical skills
- Good written and verbal communication skills, with the ability to build effective working relationships and provide excellent customer service
- Experience of maintaining and improving business/database systems and processes
- A methodical and diligent approach to information gathering, recording and reporting This is an excellent opportunity to contribute to the development of people across Surrey Fire and Rescue Service and support the important work of the service. This is a permanent position is £33,552 per annum based on a 36-hour working week. Surrey Fire and Rescue Service are excited to be hiring an organised and proactive Learning and Development Administrator to join our fantastic Learning and Development team based at Wray Park Training Centre in Reigate. The role is mainly office-based with opportunities for agile or remote working. Occasional travel to fire stations will be required to provide support. A pool car is available where needed.
