Full Job Description
We are seeking a proactive and organised Facilities Maintenance Administrator to support the delivery of FM services. This role plays a key part in ensuring maintenance activities, contractor coordination, and compliance documentation are effectively managed. The successful candidate will provide administrative and operational support to the FM Manager ensuring high levels of service delivery and data accuracy.,
- Maintain accurate records of maintenance activities, service reports and compliance documentation
- Manage and organise digital and physical filing systems for FM-related records
- Log, track, and update reactive and planned maintenance requests via CAFM system
- Coordinate contractor visits, site access, and permit requirements
- Liaise with suppliers to obtain quotes and schedule works
- Ensure SLA's are adhered to
- upport audits and inspections by providing accurate documentation
- Ensure documentation is up to date and easily accessible
- Assist with budget tracking and cost control
- Act as first point of contact for customer and subcontractor queries
- Support the FM Manager with meeting preparation, reporting, and data analysis.
- Carry out general administrative duties, including urgent reports, presentations, and template
Essential - Minimum of 5 GCSE's Grade A-C, including English and Math Desirable
- Level 3 qualification in Business Administration (or equivalent) | EXPERIENCE & KNOWLEDGE | Essential
- 2 years' experience in administrative or facilities support role
- Proficient in Microsoft Office (Outlook, Excel, Word) Desirable
- Experience within Facilities Management, construction, or a related industry
- Experience using CAFM or similar ticketing systems | ABILITIES & SKILLS |
- Strong organisational and time management skills
- High attention to detail and accuracy
- Ability to work independently and as part of a team
- Excellent communication and stakeholder management skills
- Problem solving mindset with a proactive approach
- Ability to manage multiple priorities in a fast-paced environment
