Full Job Description

To provide direct secretarial & administrative support to the Ward Management team, inpatient wards, and additional support services. The successful candidate will work closely with teams providing up-to-date information the teams, production of reports and summaries, minute taking for meetings, creation and maintenance of records within designated timescales, maintaining of HR related documentation, diary management, mailbox management and other administrative tasks alongside supervisory duties. This is not an exhaustive list and will adapt to meet the needs of the service. To provide a flexible proactive resource to support teams in the provision of services to include organisation of work for self and may have front line contact with service users, carers, the general public or other external stakeholders and internal colleagues. Administrators and Administrative Assistants will support one or more team(s). The focus of these posts may be on a variety of tasks including volume typing mainly from digital dictation, data inputting, copying, filing, ordering of supplies, checking and coding of invoices, attending/ leading and minute taking, supervision of Administrative Assistants, auditing, organising events and supporting management., This role provides direct secretarial and administrative support to our in-patient care, Consultant Psychiatrist, Lead clinicians and the wider team. The successful candidate will work closely with the teams providing:

  • Up-to-date information to the teams, production of reports and summaries within designated timescales and supervision of Admin assistants
  • Maintaining, organising and sourcing stock
  • Minute taking for requested meetings
  • Creation and maintenance of spreadsheets and internal forms within designated timescales
  • Maintaining people management and HR related records
  • Diary and caseload management
  • Generic team mailbox monitoring and maintenance and any other administrative duties requested
  • Support the ward team
